What Transporter TMS is
Transporter TMS is TwinFusion's transport management system for road-freight businesses. It runs the paperwork and the money of a haulage operation end to end: customer, loading sheet and waybill, invoice, payment and whatever is still owed.
Freight is priced automatically on the greater of tonnage, volume or the route minimum, so bulk, bulky and short-route jobs are all quoted from one rate card. Cash and credit customers follow different rules before a load is dispatched, six staff roles each see only their part of the job, and the system is self-contained, so it can run without an internet connection.
How Transporter TMS works
Overview
Transporter TMS runs the operations and billing of a road transport business: customers, loading sheets and waybills, invoices, payments and receivables. It is TwinFusion's own system, set up as a working demonstration with a guided six-step walkthrough, and it is self-contained, so it can run without an internet connection.
Who uses it
- Administrator — manages staff accounts and settings.
- Operations manager, dispatcher, cashier and accounts staff — each see only the parts of the job their role covers, from loading sheets and dispatch to invoices, payments and receivables.
- View only — read-only access.
Main modules
- Dashboard and search — an overview and a search across the system.
- Customers — cash or credit terms, credit limit, payment days, billing terms and tax PIN.
- Loading sheets and waybills — create, print with a barcode, dispatch, confirm delivery or cancel.
- Invoices — raised from a loading sheet, with VAT applied from settings.
- Payments and receipts — cash, M-Pesa, bank or cheque, with printed receipts showing the amount in words.
- Receivables — outstanding and overdue balances in 30- and 60-day bands.
- Setup — rate card by route, locations and depots, and the fleet of vehicles and drivers.
- Settings — company details, currency, VAT rate, default rates, payment instructions and document terms.
How it works
- Set up the customer — create or select a customer and set cash or credit terms, a credit limit and payment days.
- Raise the loading sheet — enter origin, destination, vehicle, driver, cargo weight and volume. The freight charge is the greater of tonnes times the rate per tonne, cubic metres times the rate per cubic metre, or the route minimum, and a numbered waybill is issued.
- Invoice — raise the invoice from the loading sheet. A credit customer's invoice goes to receivables and the load is cleared for dispatch straight away, with an authorised override needed above the credit limit. A cash customer's load is cleared only once the invoice is paid in full.
- Take payment — record cash, M-Pesa, bank or cheque payments; anything other than cash needs a reference, such as the M-Pesa transaction code, and a receipt is issued.
- Dispatch and deliver — dispatch the load, then confirm delivery.
- Follow up — track outstanding and overdue balances in the receivables report.
