What BMS is

BMS is a business management system TwinFusion built for its own use, covering the full commercial cycle of a services and trading business in one web application: winning the work, delivering it, buying for it and getting paid.

It brings together a CRM with leads, opportunities and a pipeline board; projects with milestones and task boards; work orders and contracts; requisitions, LPOs and purchase orders; and quotes, invoices and inventory. LPOs, requisitions and contracts each need two separate approvals, and role-based logins separate admins, managers and viewers.

How BMS works

Overview

BMS is TwinFusion's own business management system for running a services and trading business end to end: winning work through the CRM and quotes, delivering it through projects, work orders and contracts, buying for it through requisitions, LPOs and purchase orders, and getting paid through invoices and approvals. It is a single web application with role-based logins.

Who uses it

  • TwinFusion's own team — the system was built for the agency's own use, across sales, delivery, purchasing and finance.
  • Admins, managers and viewers — every user signs in with one of these three roles, which control access across the system.

  • Dashboard — an overview across the business.
  • CRM — leads, companies, contacts, opportunities, a pipeline board, activities, tasks, support tickets and campaigns.
  • Operations — projects with milestones and a task board, work orders and contracts.
  • Procurement — requisitions, LPOs and purchase orders.
  • Finance — quotes, invoices and approvals.
  • Warehouse — inventory.

How it works

  1. Win the work — a lead, whether from the website, a walk-in, a referral, social media, online ads, an email campaign, a call or a trade show, moves from new to contacted, qualified, proposal sent and negotiation, then converted or lost; opportunities run through an eight-stage pipeline board.
  2. Quote — a quote moves from draft to sent, then accepted, rejected or expired.
  3. Deliver — projects are broken into milestones and prioritised tasks on a board (to do, in progress, review, done), and work orders run from draft to open, in progress and completed.
  4. Buy — requisitions, LPOs and purchase orders are raised; each requisition, LPO and contract needs two separate sign-offs before it is approved, and purchase orders move from draft to sent, approved and received.
  5. Get paid — invoices move from draft to sent, then paid or overdue.
