THE BRIEF

What TwinFusion Assignments is

TwinFusion Assignments is the work-order system we run our own client work on. Built on Perfex CRM and extended well beyond it, it tracks every assignment against a client, proves each piece of work was done and reviewed, and reports progress back to the client.

Staff clock in, work their assignments and tick off checklist items, but nothing counts until an administrator approves it. Approved work feeds automatic end-of-day reports and a monthly PDF report that each client downloads from their own portal. Weekly scheduling, performance dashboards, HR payments, petty cash, goals and internal chat sit in the same system.

SYSTEM MANUAL

How TwinFusion Assignments works

Overview

TwinFusion Assignments is the agency's work-order and staff-productivity system, built on Perfex CRM and heavily extended. Every assignment is logged against a client, staff tick off checklist items as they work, and an administrator approves each item before it counts. Clients follow their own work and download monthly reports through a portal.

Who uses it

  • Staff — clock in and out, work their assignments on a task board and tick off checklist items.
  • Administrators and supervisors — approve or decline checklist items, plan the week and read the performance dashboards.
  • HR — looks after staff payments, salary advances and workload oversight.
  • Clients — sign in to their own portal to follow assignments and progress, reply in a comment thread and download monthly reports.

Main modules

  • Assignments and checklists — the task board, task details and the checklist approval panel.
  • Staff attendance — clock in, lunch out and in, and clock out, with late arrivals flagged.
  • End-of-day reporting — personal and team end-of-day reports built from approved work, with a daily summary that locks the checklist.
  • Weekly scheduler — a drag-and-drop calendar, a printable timetable and a completion report.
  • Performance tracking — executive and per-staff dashboards, plus custom reports such as overdue and completed task summaries.
  • Client portal — assignments, progress, checklists, a comment thread and downloadable monthly reports, with staff names hidden.
  • Client dashboard — headline figures, priority tasks, SEO insights, a files vault and an activity stream for each client.
  • HR and finance — HR payments, salary advances and petty cash.
  • Goals and conversations — goals, and internal staff chat linked to tasks.

How it works

  1. A staff member clocks in and opens their assignments.
  2. As each checklist item is finished, it is ticked and moves to Awaiting Approval, locked against further edits.
  3. An administrator approves or declines each item, or approves them all at once. A declined item goes back to the staff member marked for redoing, and every approval records who did the work, who approved it and when.
  4. Approved items feed the staff member's end-of-day report, which is generated automatically; an end-of-day summary then locks the day's checklist and can be copied as WhatsApp-ready text.
  5. On the first of each month, a PDF progress report is generated for each client and published to their portal.
  6. Clients sign in to see their assignments, progress and checklists, reply in the comment thread and download the report.

Integrations

  • Open Panel SEO Reports — failed SEO checks are filed here as tasks, and live keyword figures appear on the client dashboard.
  • Open Panel Desk — support tickets raised on WhatsApp land here for the team to action.
  • Site Kit for WordPress — Search Console and GA4 figures from a client's WordPress site appear in an SEO tab and in the client portal.

Platforms and access

  • Web-based, with a layout that adapts to phones and tablets.
  • Role-based access with per-feature permissions to view, create, edit, delete and approve.
  • Clients use a separate portal sign-in and see only their own work.
