What Burhani Air Travel is

An accounting and reporting system for Burhani Air Travel and Safaris, an IATA-accredited air ticketing and safari agency in Nairobi. Every itinerary is priced individually, so the agency's accounts team needed invoicing and reporting built around clients rather than stock.

We reworked a CRM base into a focused travel accounting tool. Invoices carry ticket numbers, travel dates and passenger counts, a cash-sale screen raises the invoice and records payment in one step, and every supplier booking or expense is tagged as client cost or office overhead. That split drives a client profitability report, which sits alongside debtors lists and branded PDF invoices, receipts and statements.

How Burhani Air Travel works

Overview

An accounting and reporting system for Burhani Air Travel and Safaris, an IATA-accredited air ticketing and safari agency in Nairobi. Travel services are priced per client rather than sold from stock, so the system is built around invoicing, receipting and profit per client instead of inventory. It was made by reworking a CRM base, with the areas the agency does not need hidden from view.

Who uses it

  • Superadmin — full access, including staff accounts, roles and settings.
  • Travel manager — handles passengers, invoices, travel proposals, credit notes, expenses, payments and reports, without access to staff or system settings.

Main modules

  • Passengers — the client list, with printable account statements.
  • Itineraries and invoices — free-form service lines plus PNR or ticket number, departure and return dates, passenger count and an optional tax PIN for walk-in clients.
  • Travel proposals — priced proposals for clients.
  • Receipts and credit notes — payments recorded against invoices, and credits where needed.
  • Cash sale — one screen that raises an invoice and records full payment together, so it closes as paid.
  • Supplier bookings and expenses — every entry tagged as a client cost or an office overhead.
  • Reports hub — sales, cash sales, debtors and client profitability reports in one place.
  • Currencies and tax — Kenyan shillings by default, with US dollars and Tanzanian shillings available, and no tax line added by default.

How it works

  1. Raise an invoice for the itinerary with its service lines, ticket number, travel dates and passenger count.
  2. Record the payment as a receipt, or use Cash Sale to invoice and receipt a walk-in client in one step.
  3. Enter each supplier booking or expense and tag it. Client links it to the passenger and invoice as a direct cost; Office records it as overhead, which can never appear in client reporting.
  4. Open the Reports hub. Client profitability shows the invoiced amount minus client costs for each passenger, with the margin, and the debtors report shows what each client still owes.
  5. Download the invoice, receipt or statement as a branded PDF; invoices carry the agency's bank and M-Pesa payment details.

When the categorisation went in, existing expenses were sorted by rule: those linked to a customer became client costs and the rest became office overheads.
