What Aqeeq Galleria Work Order CRM is
A customer and work-order system for Aqeeq Galleria, a jewellery business. Staff keep each customer on file, raise a work order for every job, attach reference photographs and assign the job to a craftsman.
We cut a standard CRM back to the work-order job, hiding the sales and billing areas the business does not use. The feature the workshop relies on is a custom image annotator: staff draw and write instructions directly on the job photograph in the browser, and the marked-up copy is saved as a staff-only attachment while the original stays intact.
How Aqeeq Galleria Work Order CRM works
Overview
The Aqeeq Galleria Work Order CRM keeps the jewellery business's customers and workshop jobs in one place. Every job is a work order raised against a customer, carrying reference photographs, assignees, a status and a full history. It is built on a CRM base cut back to the work-order job, with a custom image annotator added for marking up job photos.
Who uses it
- Administrators — manage customers, staff, statuses, priorities, email templates and settings, with access to every work order.
- Employees — work on the jobs assigned to them, update their status, comment and annotate the photos they upload.
- Customer contacts — can sign in to a client portal; annotated images are never shown to them.
Main modules
- Dashboard — counts, my work orders, recent activity and a calendar.
- Work orders — list and Kanban board with filters by status, priority, assignee and customer, plus bulk actions.
- Customers — customer records with contacts, job history, files and notes.
- Attachments — photo uploads with thumbnails and a full-screen preview.
- Image annotator — free drawing, text, arrows, lines and shapes on a job photo, with colours, sizes, undo, redo and touch support.
- Comments and activity log — discussion on each job and a record of who changed what.
- Staff, roles and settings — users, permissions, statuses, priorities, email templates, menu and branding.
How it works
- Create the customer record and their contacts.
- Raise a work order against the customer with a description, a priority from low to urgent, and start and due dates.
- Upload the reference photograph and assign one or more staff.
- Mark up the photo in the annotator with dimensions and instructions. Saving creates a new staff-only copy, keeps the original, and leaves the markup editable later.
- Move the job through Not Started, In Progress, Testing, Awaiting Feedback and Complete, commenting as it goes.
- Close it as complete; the customer record keeps the full job history.
Integrations
- Email notifications — staff are emailed when they are assigned a job and when its status changes.
Platforms and access
- Web application that can be installed on a phone's home screen.
- Staff sign in to the admin area; customers use a separate client portal.
- Role-based access, with view, create, edit and delete permissions set per feature.
- An activity log on every job.
